What you can do
Keep the financial story attached to the sale
The checkout offer depends on a payment method, shipping method, tax rate and any eligible discount rule. Merchant Owner maintains those definitions for the storefront. Config Validation Runs records the result of checking a configuration set and lists unmet conditions when it fails. The team can review that result before taking orders through a newly configured market. The validation result is evidence of a check; the individual configuration records remain the merchant’s decisions.
Once an order exists, Payment Evidence identifies authorization, capture, sale or void activity. The order’s financial status and amounts paid or refunded summarize its position. Applied Discounts records a benefit actually used on an order or line. Finance Manager needs all three views of value when answering a question about what the customer paid.
How the work is organized
- Configuration. payment methods, shipping methods, tax rates and discount rules set checkout choices and eligibility.
- Transaction. payment evidence and meal orders show payment attempts and the resulting order position.
- Adjustment. applied discounts and order refunds explain discounts granted and money returned.
What to agree during setup
Merchant Owner and Finance Manager choose which payment and shipping methods are active in each catalog and how tax behavior is applied to a region. Discount rules have an effective window, scope, minimums and usage limits. Marketing Manager should review a promotion against the actual catalog before it is advertised. A code intended for a cart should not be described as a line discount if its rule applies elsewhere.
Finance Manager also needs a reconciliation habit for provider references. A local payment record describes the attempt; a provider connection supplies the external outcome. The team should decide who checks failed evidence and when an order may move forward after manual review. Financial status should be read alongside fraud status and the specific payment evidence row.
Check the handoff on an actual case
A buyer selects a discounted meal order with delivery. Merchant Owner checks that the catalog has a usable payment method, shipping method and applicable tax rate. Finance Manager examines the order’s applied discount and payment evidence after checkout. If payment is authorized but not captured, the order should be handled according to its actual financial status. Warehouse Operator should not infer settlement solely from the presence of a payment row.
For a later partial refund, Finance Manager compares the refund amount with the order’s paid and refunded amounts. The refund record carries its status, approver and processing time. Customer Service Rep can explain the request and its outcome from the same order history without changing the original purchase price.
