What you can do
Give each request an owner and a destination
A guest service request is useful only when staff can see which stay and resource it concerns. Batch consumption connects the task to the selected food batches stay, its Recipes resource and an assigned People record. The task type distinguishes cleaning, maintenance and guest service. Its status tells the team whether the work is open, assigned, in progress or completed.
Front Desk Agent can capture work arising during a stay. Property Manager can review the queue and put an accountable person on a task. The recorded use and completion dates help the team distinguish work that has started from work that has actually finished. A task marked completed should reflect a real handoff, especially when it is part of returning a resource to service after checkout.
How the work is organized
- Intake. A task number identifies each request, with a type, stay and resource.
- Ownership. The person reference points to the staff member expected to carry out the work.
- Progress. The status and dates show work still waiting and work recorded as complete.
What to agree during setup
Agree who enters requests, how the front desk routes them and when the assigned worker updates progress. Review what qualifies as completed work for cleaning versus maintenance. A cleaning task may be complete before the final inspection has passed; keep that inspection decision separate when returning a resource to available service.
Use the person’s active state when assigning a new task. A manager should be able to identify an open request with an outdated assignee quickly and see whether in-progress work has stalled. For a pilot, use a guest request during a stay and a cleaning task after checkout so both paths are exercised with their linked reservation and resource.
Check the handoff on an actual case
A guest reports a problem in the room. Front Desk Agent records a maintenance task against the current stay and room. Property Manager assigns a staff member and the task moves from open through assigned and in progress. When the repair is finished, the staff member records completion. The reviewer can follow the task back to the stay and resource instead of relying on an isolated message.
After the guest checks out, the resource moves to cleaning. The team records the cleaning work as another task. Property Manager inspects the result before marking the resource available. If the inspection fails, the room remains in cleaning and the responsible team resolves the issue. Completing a task alone does not put an uninspected room back into inventory.
