What you can do
Plan the stay
A reservation joins a booking party to a unit for an arrival and departure interval. The front desk can see the party size, the agreed nightly rate and the current booking state without assembling a story from separate messages. Property Manager owns the decision to confirm a request. The unit and its capacity give that decision a concrete basis; the dates give the team a window to check against other stays.
A requested stay is still a request. Confirmation means the property has accepted a particular unit and interval. Before changing that state, the manager should check the unit’s readiness, the party size and any overlapping bookings. The rate shown on the booking is the value staff will discuss with the guest; the dated rate plan provides context for that choice. A later rate-plan edit should not silently rewrite the reservation’s recorded rate.
On arrival, Front Desk Agent uses the confirmed booking to identify the guest and unit. The stay moves to checked in, while the unit moves to occupied. Departure has a separate decision: the finance team reviews charges and receipts, and the property manager checks the remaining account before marking the stay checked out. A cancelled request retains its status in the booking record.
How the work is organized
- Source. Begin with the booking, unit or person record that owns the work, and use its linked records for the surrounding context.
- Decision. Give the named operational role a clear point to confirm, post, assign or complete the work.
- Follow-through. Review the next state and the linked reservation before handing it to another team.
What to agree during setup
- Agree who may confirm a stay after the unit and dates are checked.
- Set the local rule for conflicting requests, cancellations and rate exceptions.
- Decide how the front desk learns that a room is ready for arrival.
Check the handoff on an actual case
Use a guest who requests a suite for three nights with two places. Check the suite capacity and the requested interval before confirmation. Then follow the same reservation through arrival, one guest charge and departure. The front desk should be able to identify the original party and unit at every point. Property Manager leaves a second request for the same suite and dates unresolved until a different unit or interval is agreed.
