Help for the people running events

Give Proto the event context and have staff review decisions.

It can

  • Event Owner: Ask for the events awaiting review and the schedule, venue and capacity of a selected event.
  • Independent Reviewer: Ask for the current event revision, supporting attachments and prior decision before making a decision.
  • Admissions Lead: Ask which approved registrations have a reserved admission and verified capture.
  • Finance Reviewer: Ask for receipts needing review and the original provider references behind their effects.

Stays with a person

  • A person decides whether an event revision is approved and whether a correction of executed scope is authorized.
  • Staff also confirm the provider's actual money movement and investigate an uncertain result.
  • The assistant may organize linked records and prepare a review; it should preserve the original keys and wait for the named person to act.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set operating scope

Add the organization, active team members and venues. Agree who owns events and who reviews changes.

  2. Prepare the first event

Enter its schedule and capacity, attach supporting material and review the exact revision.

  3. Connect evidence

Configure provider identifiers and verification, then rehearse an approval, capture, reservation and gate scan.

  4. Reconcile and close

Investigate an uncertain receipt, compare admitted quantity with verified captures, then complete or cancel the event with history intact.

FAQ

Questions, answered

Scope, rollout and pricing for Music Festival Management.

All questions
How do I get started?

Click Get started, then use Proto to configure Music Festival Management for your business. Start with one organization, one venue and one event, then rehearse review, registration and admission.

How do I schedule an event?

Event Owner enters the event subject, start and end times, capacity, organization, owner and venue. The event calendar and selected record detail help the team check the operating window.

Who approves an event?

Independent Reviewer records a decision against the event revision. Event Owner submits a changed revision for review before opening that changed scope.

How are registrations handled?

Event Registrations move from Draft to Submitted for review. An approved registration reaches Completed only after capacity and verified payment effects are recorded.

What happens at the gate?

Gate Staff uses an existing Admissions line and records the admitted time once. Admissions Lead can compare reserved and admitted quantities.

How do we check payment?

Finance Reviewer checks payment evidence for a verified Capture and its provider reference. Authorization and a pending refund are separate facts.

What if an action is uncertain?

Operation receipts retain the original operation key, expected revision, result and linked effects. Finance Reviewer investigates that record before another execution is attempted.

Can a cancelled event retain attendance history?

Yes. Event Owner preserves admitted history and distinguishes unused capacity from executed scope when an event is cancelled.

How are supporting files shared?

Record attachments carry a visibility choice of Internal or Shared. Agree on access before staff upload evidence.

Where can I review access?

Use the roles page to check who prepares events, approves revisions, admits guests and reconciles payment evidence.
