What you can do
Dealer sales in daily work
Start with the dealer that owns the trade relationship. The sales representative checks the billing identity, ordering contact, delivery destination, payment terms and price list before preparing an offer. A dealer on hold cannot be treated as a normal new commitment simply because an earlier quote exists. The legal entity and currency stay with the commercial record, giving finance an unambiguous basis for later receivables.
How the work is organized
- Offer. Prepare a dated quote against the dealer and applicable product units, retaining the price and tax basis used for each line.
- Acceptance. Preserve the dealer’s acceptance evidence and the current revision before submitting the order for review.
- Exposure. Review existing receivables and uninvoiced commitments before promising another amount against the dealer’s credit limit.
What to agree during setup
Agree who may prepare offers, who independently approves orders, and which finance manager can decide a credit exception. Set the entity, currency, payment terms, price list and dealer hold rules before the team starts accepting orders. Decide how staff will retain a customer’s acceptance and how a changed delivery promise will be communicated. The original promise should remain available beside any revised date, because service review depends on the initial commitment.
Check the handoff on an actual case
Take a dealer requesting part of an order now and the remainder later. The sales representative prepares the accepted quantity and destination, then submits the current order revision. The sales manager examines the commercial terms and makes the independent decision. If the order amount exceeds available credit, finance reviews the bounded exception separately. The approved order becomes eligible demand; it does not say that stock was picked, shipped or delivered. The warehouse sees the same accepted quantity while each later partial shipment uses only its remaining portion.
Change one line after approval as a rehearsal. The team should retain the original accepted scope and seek a fresh decision for the material revision. Reducing another line must not conceal a new commitment. Confirm that sales can follow progress without making the warehouse’s physical record or finance’s invoice decision on their behalf.
