What you can do
Inventory in daily work
Warehouse availability is based on owned stock at a precise entity, product, warehouse, location and lot. A quantity can be physically present but held or already reserved. It can also remain owned while in transit between sites. The warehouse manager needs that distinction before promising a pick, approving a transfer or reviewing a count variance.
How the work is organized
- Position. Keep on-hand, reserved and available quantities by full stock identity and custody state.
- Movement. Record dispatch and exact partial receipt for same-entity transfers without making transit stock disappear.
- Count. Lock a scoped population, capture blind observations, review variance and post only an authorized adjustment.
What to agree during setup
Define legal entities, warehouses, locations, product units and lot practices. Agree when stock becomes available after receiving and which staff can place or release a hold. Set count tolerances and value thresholds in the operational policy. Assign a counter and an independent manager for review, with finance involvement when the policy requires it. The team also needs a method for tracing the original movement behind a correction instead of editing a posted event.
Check the handoff on an actual case
Start with available stock in one warehouse and reserve a portion for a dealer order. The available quantity decreases while owned quantity remains. Request a transfer of the unreserved remainder to another warehouse. The warehouse manager approves the exact transfer revision. Dispatch creates transit custody; a partial receipt at the destination moves only the received amount. The undisposed remainder remains in transit until another actual receipt or a reviewed exception resolves it.
Now count the source location. Lock the chosen scope and have the counter record observed quantity without seeing an editable expected balance. The manager reviews the signed difference and its value, then the authorized adjustment posts once. A repeated count message or an unrelated new position inside the locked scope must not silently change the counted population. Recheck both warehouses’ balances and the transit remainder.
What your team sees
- Warehouse Availability — Compares on-hand, reserved and available quantity at each location.
- Transfer Approval Queue — Shows transfers awaiting the Warehouse Manager’s exact-scope decision.
- Production Schedule — Shows released assembly demand that will consume stock.

What it keeps track of
Data model- Inventory positions
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Inventory reservations
- Exclusive bounded demand claims through picking and owned transit.
- Stock transfers
- Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
- Stock transfer lines
- Partial transfer quantities retain equal in-transit ownership and cost.
- Stock events
- One immutable group of stock movements and the associated journal effect.
- Stock movements
- Signed position/layer legs; transfers balance quantity and value by SKU.
- Stock layers
- Remaining quantity/carrying value with receipt/output/return lineage.
- Inventory counts
- Blind scoped counts with explicit review and cost before adjustment.
- Count lines
- Observed base quantity and signed variance against an unchanged locked population.
- Count locks
- Time-bounded counted scope protecting all identities, including newly appearing positions.
- Warehouses
- Physical sites may host segregated entity-owned positions; legal owner stays on each position.
- Locations
- Shallow warehouse bins, staging and transit custody locations.
- Products
- Trade goods and assembly outputs; master values do not rewrite transactions.
