What you can do
Purchasing in daily work
A supplier order is a commitment to buy, while a warehouse receipt is evidence of an arrival. Keep those moments separate. The purchasing manager sees the requested product, buying unit, quantity, destination warehouse, supplier and approved price. The receiving team records what physically arrives. Accounting matches a supplier bill only to the quantities that were independently accepted.
How the work is organized
- Request. Prepare purchasing demand with the required date and receiving destination; connect it to a dealer order line when that demand is specific.
- Commitment. Submit the supplier order for independent approval against its current total and any cumulative increases.
- Receipt. Record the actual arrival, then separate accepted, rejected and pending quantity before inventory and bill matching use it.
What to agree during setup
Set supplier terms, buying units, warehouse destinations and the approval authority for purchases. The order should retain its original promise even when an accepted revision changes the date. Agree how the receiving operator identifies a lot and location, and who reviews condition evidence. Finance needs the standard cost and exchange-rate basis that applies when accepted goods become stock. Decide how supplier credits and nonstock exceptions will be reviewed without pretending that every charge came through a receipt.
Check the handoff on an actual case
Order a product in a supplier pack for a specific warehouse. Have the supplier deliver only part of it, including a damaged portion. The warehouse operator records the entire arrival and its evidence. The independent review accepts only the usable tranche; the unresolved portion remains pending or rejected. Inventory rises for accepted stock alone. Accounting then matches the bill to unused accepted quantity, retaining the commercial price and receipt accrual. A second bill cannot consume the same receipt quantity.
Amend the order with another line after the partial receipt. Purchasing reviews the new total and cumulative positive increases rather than offsetting them with a reduced line. Confirm that the already accepted stock and original receipt history remain intact, and that the outstanding commitment shows only eligible remaining supply.
