What you can do
Match the movement the provider recorded
Reconciliation begins with a financial account, a dated provider snapshot and source-identified provider movements. The snapshot keeps the provider’s ledger and available balances at an as-of date. Each reconciliation item carries a provider event identifier, occurrence date, amount, account and matched instruction reference. The Treasury Operations Lead compares those details with the instruction’s confirmed outcome. A matching amount alone is insufficient when the date or account disagrees.
A movement becomes Matched only when its amount and confirmed occurrence date exactly agree with an instruction linked to the same account. A mismatch remains Unmatched or is recorded as Exception for investigation. The team can inspect the confirmed bank evidence behind the instruction and the source event behind the movement. This keeps a reconciliation decision connected to facts the provider actually supplied rather than to a plausible-looking amount.
How the work is organized
- Balance. Store provider snapshots with their dates and balance values for the account.
- Movement. Bring in provider-identified reconciliation items and retain their original amount and date.
- Match. Use confirmed instruction evidence and the same account before closing a movement.
What to agree during setup
Agree which provider feed or statement supplies account snapshots and movements, how duplicate provider event identifiers are handled, and who investigates an Exception. The team should set a cut-off for each reconciliation period and preserve the original provider records when corrections arrive. A corrected statement may require a new evidence line, not an edit that hides the earlier value. The Auditor needs read access to the matched instruction and the source event so a closed item remains explainable.
Check the handoff on an actual case
The provider statement shows a debit with a particular amount and occurrence date. The operations lead finds a confirmed instruction for the same financial account and checks its verified settlement evidence. If the amount and date agree exactly, the provider movement can be marked Matched and linked to that instruction. If the amount agrees but the date differs, it stays open for investigation. The provider snapshot’s ledger balance is then compared with the movement population for the period. The team documents the discrepancy rather than forcing a match to make the period appear complete.
What your team sees
- Reconciliation exceptions — Provider events that need a person to investigate the mismatch.
- Unmatched movements — Source events still awaiting a valid confirmed instruction.
