What you can do

Keep the application tied to treasury work

A fund account application belongs to a parent banking instruction and an organization. The Treasury Preparer records the applicant, intended initial deposit and provider application reference when available. The application’s own status distinguishes Draft, Submitted, Approved, Rejected and Completed. These states answer different questions: whether the application was sent, whether an independent decision was recorded, and whether the provider actually granted authority. The related instruction still carries its separate authorization and provider outcome.

The preparer should retain the link to the parent instruction when correcting an application. Its revision lets the Independent Treasury Approver know exactly which submitted details were reviewed. The decision is recorded against the same parent and revision before the application’s outcome changes. A local approval is not provider account authority. Completion is supported by the provider’s actual result, with the application identifier available to trace a follow-up.

How the work is organized

  • Application. Capture the applicant, initial deposit and parent instruction in the right organization.
  • Review. Give the independent reviewer the submitted revision and supporting evidence.
  • Outcome. Record the provider’s application identifier and completion only after its authority is established.

What to agree during setup

The Treasury Operations Lead defines who owns provider correspondence, where application evidence is attached and how the application reference is verified. The team should agree how the initial deposit relates to the parent instruction’s amount and how a rejection is communicated back to the preparer. Decide who checks that the provider account, once open, has the correct counterparty, currency and external account identifier before it enters the active account directory. Avoid treating an approved local record as a usable provider account.

Check the handoff on an actual case

A fund operations team needs a provider-held account for a new cash arrangement. The preparer creates the parent bank instruction, records a draft application with the applicant and planned initial deposit, then submits the application with supporting documents. The Independent Treasury Approver reviews the frozen revision and records a reasoned decision. The provider later supplies an application identifier and its decision. Only an actual provider authorization supports Completed. The Treasury Operations Lead adds the resulting financial account to the directory with the provider’s identifier; earlier application and instruction records remain linked for review.

What your team sees

  • Applications by status — Draft, submitted and approved applications with their parent instructions.
  • Application review inbox — Submitted revisions waiting for an independent decision.
