What you can do

Record what happened on the job

Work evidence links actual activity to a parent work order. It names the owner, occurrence date, quantity, item, location and optional lot. It also carries revision, posting state, actual hours and a reason. The clerk uses it to explain what was done, while the supervisor compares it with authorized scope before completion is verified.

Posted Work Evidence is the queue for evidence that has become part of the operational record. The Stock Movements Ledger shows draft, posted and reversed entries together, so an auditor can follow changes instead of seeing only the most recent number. The parent work order keeps the relationship between the plan and those entries.

How the work is organized

  • Capture. Inventory Clerk records the actual quantity and hours against the work order.
  • Inspect. An authorized reviewer accepts evidenced work after checking its source revision.
  • Correct. A successor evidence entry retains the original outcome when a correction is needed.

The execute and inspect workflow writes a recorded operation receipt on success and a failed receipt on rejection. The stable operation key prevents a repeated call from creating another action. This matters when a field team resubmits after a slow connection: the team should see the earlier result rather than an unexplained extra quantity.

What to agree during setup

Agree which activity belongs in the quantity and which belongs in actual hours. The work order’s requested units and the evidence quantity are compared during reconciliation, so the two numbers need a shared meaning. Choose a short, consistent reason when correcting a posted entry. Require the clerk to link the original work order and the correct item and location.

A draft can be revised while the owner is preparing it. Posted evidence is a historical event. Use a linked correction or reversal path when the earlier event was wrong, and retain its reference. Attachments can supply photos or documents, but the evidence record still needs its own quantity, occurrence and posting state.

Check the handoff on an actual case

Start with an approved work order for a known item and asset. Record the actual quantity and hours, then submit the evidence for inspection. Have the supervisor find Posted Work Evidence and compare the posted total with the authorized quantity. Open the matching operation receipt to see whether the action was recorded or failed.

Correct one entry and follow the successor and original through the ledger. A colleague should be able to explain why the total changed without erasing the first posting. Repeat the same operation key and confirm the action is not posted again. Finally, use the reconciliation process to see whether the current posted total matches the work order.

What your team sees
