Proto helps prepare the work

Ask Proto to help prepare care operations while the team keeps clinical decisions.

It can

  • Clinical Coordinator: Ask for a list of scheduled encounters, drafts awaiting charge review or patient tasks needing an owner.
  • Licensed Clinician: Ask to find assigned encounters and care tasks, then review the details before recording clinical evidence.
  • Clinical Reviewer: Ask for encounters awaiting review and the notes, observations or medication entries attached to each one.
  • Clinical Governance Administrator: Ask for pending privileges and active care team assignments with effective dates.

Stays with a person

  • People decide whether consent evidence is valid, whether a clinician's privilege should be verified, whether clinical documentation is complete and whether a charge is approved or a payment has been confirmed in its source.
  • Proto can help locate and prepare the records, but the named role makes and records the decision.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Prepare people and patients

Confirm user access, staff records, patient numbers and assigned clinicians.

  2. Set consent and privilege practice

Agree on document purposes, verification evidence, effective dates and care team assignment rules.

  3. Rehearse an encounter

Schedule an episode, record arrival, add clinical evidence and have a reviewer examine it before completion.

  4. Add follow-up

Assign a patient task, complete one and escalate another to test the coordinator’s queue.

  5. Bring in finance

Review a charge for an encounter and review a separate patient payment using its source reference.

FAQ

Questions, answered

Scope, rollout and pricing for Nursing Home / Assisted Living.

All questions
How do I get started?

Click Get started, then use Proto to configure Nursing Home / Assisted Living for your business. Pilot one visit type with a small patient and clinician group, then rehearse documentation and review before expanding.

What does an encounter represent?

An encounter is a patient visit or care episode with a clinician, visit type, dates and a status that shows its progress.

Where does a medication entry go?

Medication administration attaches to an encounter and records the medication, lot, quantity, unit and authorizing person.

How are notes reviewed?

A clinician records an attributed note with a draft, signed or amended state. Clinical Reviewer examines it with the associated encounter evidence.

Can we track work after an encounter?

Yes. A care task belongs to a patient, names an assignee and due date, and can be completed or escalated.

How do we track consent?

A consent record carries the patient, purpose, document version, signed date, expiry date, attached document and current state.

Who verifies clinician privileges?

Clinical Governance Administrator reviews license details, evidence and effective dates before recording a verified privilege.

Can we follow a collected specimen?

The encounter-linked specimen record stores its type, collection date, accession number and progress state. Coordinate actual laboratory results with your laboratory system.

Are charges and payments the same record?

No. Charges belong to encounters; payments belong to patients. Use the external billing and receipt references when reconciling them.

What should we test before the first cycle?

Run a complete encounter from scheduling to review, then test a medication entry, task escalation, consent check and separate charge and payment review.
