What you can do

Begin with the buyer and the variant

Order Desk starts with the account or shopper that placed the order and the account to bill. Those can be different records. The shipping address and fit or return notes stay with the customer record. The order identifies its retail organization and owner, while each line identifies a style variant. A variant carries style, color, size, season, promotion standing and list price. The order line carries ordered units and wholesale unit price. This lets the team review the actual mix of sizes and colors rather than rely on a single style label.

A seasonal promotion code belongs on the order. Check the code against the intended assortment and account before sending the order for review. The order’s net USD value is computed from its lines during capture. A requested ship date is useful for the order desk, but it is a request, not evidence of a shipment.

How the work is organized

  • Order header. Identify the buyer, bill-to account, organization, channel, owner and requested ship date.
  • Variant lines. Enter units and wholesale unit price for each style, color and size combination.
  • Capture receipt. Confirm the order value and revision before the record enters review.

What to agree during setup

Agree which organization owns each order and who may change the account, bill-to record and line prices. Set a clear convention for order numbers and variant SK us. Decide how customer shipping and fit notes are checked before the order is confirmed. The owner should be a named team member connected to a user so the work can be assigned and reviewed. Keep the review role separate from the person preparing the order.

If a department store orders one jacket style in several sizes, create a separate line for each variant. Confirm that the selected style, color and size combination matches the intended SKU. The line’s substitution allowance can be recorded where the buyer permits it; the team should not infer permission from a similar variant name.

Check the handoff on an actual case

Take an order with two size variants and different quantities. Enter the account, bill-to account, owner, channel and promotion code. Check the variant on each line, then confirm the order. The capture action calculates the net value, advances the revision and moves the order from Draft to Review. A receipt records that run, and a decision record places the order in the review queue. If someone changes the mix of sizes afterward, review the new revision rather than treating the prior decision as approval for different lines.
