What you can do

Keep the item and quantity together

Each order line links a catalog item to a quantity and unit price. The furniture catalog holds the item name, SKU, category, unit of measure, list price and active state by distribution region. A team can use it for sofas, beds, dining sets, case goods or outdoor products. The linked item gives the order a specific product identity; the entered price and quantity describe this sale.

The line’s state tells the operations team whether it remains draft, is open for allocation, has been allocated, is fulfilled or has been cancelled. The substitution flag records whether a substitute is acceptable for that line. It does not pick a substitute automatically. A coordinator needs to confirm any choice with the people responsible for the order and the actual catalog item.

How the work is organized

  • Catalog assignment. Keep the item SKU and region clear so the correct product is used on the line.
  • Commercial detail. Record quantity and unit price for each line; confirmation computes the order value from the lines.
  • Fulfillment state. Allocation and dispatch advance the line through its recorded states while freight events retain the operational evidence.

What to agree during setup

Decide who may maintain the catalog and list price, and who enters a line price for a customer order. Agree how inactive items are handled during order entry and how a change to quantity should be reviewed after confirmation. Treat the substitution flag as a decision cue, not an approval record. If an ordered sectional cannot be supplied, the coordinator and reviewer should have a clear way to record the new line and the decision behind it.

The catalog can mark an item for inventory tracking, but allocation in this app records freight shipment events for eligible lines. Before using the workflow, agree what operational stock check the dispatcher performs and which existing system supplies availability. Compare the allocated freight event with the order’s eligible lines and quantities when checking the run.

Check the handoff on an actual case

Create an order with a sofa and a dining set. Give each line its catalog item, quantity and unit price, with one line open and the other draft. Confirm the order and compare the computed order value with the lines. Run allocation. Each eligible line should advance to allocated and receive its own allocated-to-carrier freight event. Running the allocation again should skip existing allocations. A dispatcher can inspect the shipment events before dispatch and see which line still needs attention.

If a line is cancelled before dispatch, keep its state explicit and revisit the order value. A line with a different item or price should not silently replace the version that entered review. The revision and decision history help the team explain the commercial change.
