What you can do
Work from one accountable record
When a delivered case needs correction after the school office finds a wrong source reference, start by agreeing the assignee, due date and resolution. The operator needs an assignee and due date for the correction. A successor revision explains the new work while the previous decision and delivery trail remain readable.
The operator assigns a follow-up action to a person with a due date. Its status shows whether work is open, in progress, completed or cancelled; the resolution explains the completed action. The assignee can see what remains open and how the corrected case relates to the original delivery.
How the work is organized
- Assign. Give the open action a responsible person and due date.
- Resolve. Record the outcome before marking the action Completed.
- Supersede. Prepare a successor revision while retaining the previous delivery trail.
For an executed case, a correction creates a successor revision. The old history, evidence, review and operation steps remain available for comparison. The handoff is a change in responsibility, not simply a new label. Agree who can prepare, verify and decide before inviting users into the operating team.
What to agree during setup
Agree who accepts a completed follow-up and what the resolution must explain. For a delivered case, decide when the correction supersedes the earlier delivery and who prepares the compensating action. Name the independent reviewer for the successor revision. Keep the prior operation, decision and evidence so the next person can understand what was originally sent.
Use a case whose source reference was wrong after delivery. Assign the correction to a named person, record its due date and leave it Open while the source is checked. Prepare the successor revision only after the cause is clear. When the reviewer decides on that new version, compare both revisions and verify that the earlier execution steps were not rewritten.
Check the handoff on an actual case
Take a delivered case with a source reference that the school office must correct. Enter the source details and inspect the case in the workspace. Follow the related evidence into review, then compare the approved revision with the operation that carries it forward. When a delivery is superseded, record a compensating follow-up action and obtain independent review of the successor revision. The team can then explain both what happened and what it did to correct it. A colleague should be able to explain the final state from the stored case, decision, history and receipt without asking the original operator.
Rehearse a completed follow-up with no resolution and reject that closure. Then record the resolution and compare the original decision with the successor review. If the external delivery was superseded, the compensating follow-up remains visible beside the new case work.
