What you can do

Know who can carry the work

The Clinical Governance Administrator maintains each clinician’s privilege record. A privilege states its type, license number, issuing authority, effective period and verification evidence. Its status shows whether verification is pending, current, suspended or expired. A clinic can review the privilege before assigning work that needs that authority. The record gives the reviewer a specific source to inspect rather than relying on a role title alone.

Care-team assignments answer a different question: why a clinician is connected to a patient and for how long. Each assignment carries an access purpose, effective dates and active or ended status. The patient record also names an assigned clinician. Together these records help governance staff and coordinators check that the planned clinician and patient-level access agree before the next encounter.

How the work is organized

  • Professional authority. Governance staff record the license and verification evidence for each privilege type.
  • Patient assignment. Governance staff name the clinician, patient, access purpose and effective period.
  • Operational check. Coordinators check the assigned clinician when scheduling; reviewers inspect the relevant evidence during care review.

What to agree during setup

Choose who collects privilege evidence and who decides that it is verified. Agree how soon before an effective-to date the team reviews expiring privileges. Set a rule for suspension and for ending an assignment when the clinician leaves the care team. Keep the license number and issuing authority attached to the relevant clinician so similarly named people are not confused.

For a clinician moving to a new team, the administrator reviews the existing privilege and its effective period. The administrator ends the old patient assignment and creates a new one with its own purpose and dates. The coordinator then checks the patient’s assigned clinician before scheduling the next visit. If a privilege is pending or expired, governance resolves that condition before relying on it for the planned work.

Check the handoff on an actual case

Start with a clinician whose privilege is pending. Enter the license information, issuing authority and evidence, then have the governance owner make the verification decision. Check that the privilege list shows its status and effective-to date. Create an active care-team assignment for one patient and end it. Verify that the ended assignment is no longer in the active list. Rehearse an expired privilege so staff know how to spot it before planning care.

What your team sees

  • Pending privilege verification — Review clinician evidence awaiting a governance decision.
  • Active care-team assignments — See current patient links, purposes and effective periods.
  • My staff profile — Confirm the person’s user-linked staff record and active state.

Follow the work through
