Prepare the next step with Proto

Use Proto to prepare referral workflows and inspect patient care handoffs.

It can

  • Referral Coordinator: Ask for a received referral queue by specialty and priority, then review the records before contacting a provider.
  • Referral Reviewer: Ask for the patient, assignment and privilege context associated with a case awaiting review.
  • Clinician: Ask for assigned care tasks and the encounter record related to a scheduled visit.
  • Care Operations Manager: Ask which follow-ups are due and which care tasks are escalated.

Stays with a person

  • A person decides whether a referral should advance, whether consent covers the intended work and whether clinical documentation is ready to sign.
  • Staff should inspect the underlying records before changing a status or communicating a result.
  • Configure account and patient permissions before using patient details in an assisted workflow.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set identity

Prepare user, staff and patient records. Check assigned clinicians, current care team assignments and privilege evidence.

  2. Set referral intake

Agree on specialty wording, priority use, review ownership and the point when a request becomes Scheduled.

  3. Rehearse care

Take a reviewed request into an encounter, record visit evidence and check relevant consent.

  4. Rehearse follow-through

Add a referral follow-up and assigned care task. Review due work and escalation with the manager.

  5. Expand scope

Add further specialties after the team can explain its ordinary and exception handoffs from linked records.

FAQ

Questions, answered

Scope, rollout and pricing for Patient Referral Management.

All questions
How do I get started?

Click Get started, then use Proto to configure Patient Referral Management for your business. Begin with one specialty, its reviewers, current patient and staff records, and a representative referral that reaches a visit.

What is the main working record?

The referral records the patient, referring provider, specialty, received date, priority and lifecycle status. Follow-ups attach to that referral.

How are urgent requests identified?

Set the referral priority to Urgent. The received-referral list shows priority beside specialty and patient, so the reviewer can identify urgent work.

Who decides whether a referral progresses?

The Referral Reviewer checks the patient and care context and records the move from Received to Reviewed or Declined.

Where does a follow-up outcome go?

Record it on a follow-up linked to the referral, together with its due and completion dates.

Is a scheduled referral the same as a completed visit?

No. The referral can be Scheduled while its encounter is still Scheduled or in progress. The encounter records the visit state.

How do clinicians see assigned work?

Care tasks link to an assigned staff member and patient. The Open Care Tasks list shows the assignee, status and due date.

Where are consent and privileges recorded?

Purpose-specific consent records link to patients. Professional privilege records link to clinicians and carry verification and effective dates.

Can an outside appointment system be connected?

Yes. Plan its connection during setup and agree who reconciles changes with encounter records.
