What you can do
Give each employee the right payroll context
Payroll starts with the employee and the pay terms that apply to the period being paid. The employee record identifies the department, location and manager. Dated compensation records carry the pay basis, salary or hourly rate, currency and pay calendar. Earlier terms remain available when a new rate takes effect, so the team can explain which compensation belongs to a particular cycle.
Payroll Specialist checks the employee population before calculation. Payroll Admin maintains the calendar and reference codes. Payroll Manager checks bank instructions with the employee. Agree who supplies approved compensation and how those terms reach payroll before importing changes. The person checking a salary needs the original approval and effective date beside the amount.
How the work is organized
- Employee eligibility. Review employment status and the active setting against the people expected in the cycle. Include someone on leave or recently terminated in the rehearsal so Payroll Specialist can explain their treatment.
- Effective pay. Compare the compensation start and end dates with the run’s period end. Confirm the pay calendar and source approval. A promotion effective next period must be distinguished from terms already in force.
- Bank instructions. Review accounts pending verification before making them Active. Check whether the allocation uses a fixed amount, a percentage or the remainder of net pay, and confirm its priority with the employee.
What to agree during setup
Choose the employee identifier used by the Core HR connection and the source responsible for compensation. Agree the account verification procedure and the handling of an account marked Closed. Limit access to bank details and test masking with ordinary employee and manager accounts before inviting the wider team.
For each pay calendar, confirm the frequency, period anchor, cutoff days and pay date rule. Walk through the actual dates of the pilot cycle. Payroll Admin and Payroll Specialist should agree which employee pay terms belong to that calendar and which jurisdiction references apply. Keep the checked earning and deduction treatment with the setup decisions.
Check the handoff on an actual case
A salaried employee receives a promotion near the end of a pay period. Payroll Specialist compares the earlier terms with the approved replacement, checks their effective dates and follows the compensation selected for the run. The review should explain why that salary applies to this period without replacing the history of the previous one.
The employee also changes a bank allocation. Payroll Manager checks the pending account against the employee’s instructions and verifies the intended priority. After calculation, Payroll Specialist follows the employee pay item back to its compensation and compares the result with the expected amount. The account change remains a separate handoff to the company’s payment process. Use the bank’s eventual confirmation to reconcile settlement.
