What you can do

Give employees a pay record they can follow

A payslip connects an employee to the pay item behind the document. Its number and pay date identify the period, while gross and net pay show the amounts carried from the calculation. The Payslips page brings the employee, pay item, bank account and downloadable file together. Payroll Manager can inspect the artifact beside its source payroll before employees use it.

Approval creates payslip records marked Generated for the run’s employee items. Later delivery and viewing events have their own states and dates. Agree the document storage and delivery channel during setup, then check the actual employee handoff. The payroll team should be able to find the intended document and explain its connection to the approved calculation.

How the work is organized

  • Payroll trace. Follow a payslip to its employee pay item and the underlying earning and deduction lines. Compare the pay date and amounts with the approved run. A different cycle’s detail should remain clearly separate.
  • Employee access. Employee uses their own payslip and tax-form screens. Match the signed-in account to the employee record and verify linked file access. Test the same document with another employee before opening self-service to the team.
  • Tax artifacts. Tax forms carry the employee, tax year and jurisdiction alongside gross wages and withheld taxes. Draft, Issued, Filed and Amended distinguish the recorded events. The filing partner supplies the evidence for a completed external filing.

What to agree during setup

Choose the document preparation and storage route, then open an actual pilot payslip from its file location. Check that it identifies the intended employee and period and that its amounts agree with payroll. Decide how employees receive the document and how Payroll Manager handles a reissued artifact.

Agree which tax form types the customer uses and who prepares the documents. Payroll Manager reviews the artifact against the selected year’s payroll support. Confirm what the filing partner returns and when the team records the filing date. Use the internal jurisdiction reminder to organize this work, with the owner responsible for the actual document and external submission.

Check the handoff on an actual case

Payroll Manager approves a cycle containing regular pay and a benefit deduction. Inspect the resulting employee payslip and follow its pay item back to the calculation. Compare gross and net amounts with the supporting lines, then open the document from the Payslips page. The employee name and pay date should match the record under review.

Sign in as that employee and retrieve the same period from My Latest Payslip. Repeat with another employee and a copied document link. Resolve any access problem before inviting the wider workforce. The team should also rehearse the historical screen so an employee can find an earlier period without receiving someone else’s records.

Later, prepare the employee’s tax artifact for the agreed year. Payroll Manager compares its wages and withheld taxes with the payroll support before recording issue. Once the filing partner supplies real filing evidence, record the corresponding event and date. Keep the issued document and later filing event understandable as separate parts of the employee’s history.
