What you can do

Start with the pet and owner

A booking begins with the person who owns the pet. The member record holds a name, contact email, membership standing and the date they joined. Each pet has its own name, species, breed and handling notes, linked to that owner. The Booking Coordinator can check the owner before placing a pet in a session. The Instructor can read the pet’s handling notes before grooming begins.

Consider a member who brings two dogs with different coat and handling needs. Keep separate pet profiles under the same owner. When the member books a service, the session reservation links to the member; the completed grooming record identifies the particular pet. That distinction matters when an instructor reviews previous coat observations before the next visit. It also keeps one pet’s history from being mistaken for the other’s.

How the work is organized

  • Member identity. Use the member’s name and member number to find the correct owner before creating a new pet profile.
  • Pet identity. Record each pet’s name and species with its owner so a repeated capture returns the original profile.
  • Care context. Keep handling notes with the pet; review them alongside the booked service before the appointment.

What to agree during setup

Decide who may add an owner, who may edit pet handling notes and how staff resolve two similar names. The Instructor’s pet capture identifies the staff member through their user-linked People record and validates the owner and entered values. If the same owner, pet name and species are submitted again, the saved pet is returned. Train staff to inspect that result before starting a new entry with a different spelling.

Agree when a member is marked Active, Paused, Expired or Closed and who can correct that standing. Those values describe the member record; a separate member plan has its own enrollment state and validity dates. A team should inspect both before relying on a plan for a visit. Capture only care notes the team needs for a safe handoff, and set access so they reach the instructor who serves the pet.

Check the handoff on an actual case

Create a member and a pet with a handling note about a sensitive coat. Ask an Instructor to open the pet while preparing a confirmed booking. Verify the correct owner and care note appear before work starts. Submit the same pet capture again; the original pet should be returned. Then create another pet for that owner and make sure its grooming history stays distinct.
