What you can do
Make the decision attributable
The Insurance Coordinator prepares the policy revision and sends it for review. The review decision holds the source revision, decision, reason, operation key, reviewer and decision time. The Authorized Underwriter reviews that revision independently. An approval belongs to the reviewed source; a later premium or coverage change calls for another review. Return and reject decisions retain the reason so the coordinator can correct the right part of the policy.
An operation receipt tracks guarded actions with an operation key, expected revision, result state, occurrence time and external reference. The policy has fields for carrier policy ID and issue date. Together these records let staff distinguish a review decision, a carrier reference and the resulting policy state. A pending or review-needed receipt needs investigation before the coordinator treats the issue action as finished.
How the work is organized
- Decision. Tie the underwriter’s choice to the policy revision and reason.
- Issue reference. Retain the carrier policy ID and issue date on the selected policy.
- Receipt. Reconcile the operation key and result state after a guarded action.
What to agree during setup
Agree which underwriters may approve policies for each carrier and how the coordinator routes returned work. Define the authoritative carrier response for issue confirmation. If the carrier service returns a reference after a delay, decide who checks the receipt and when to follow up. Set a rule for repeated requests using the stable operation key so a retry cannot silently create another issue attempt.
In a rehearsal, the coordinator changes a deductible after an underwriter approval. The team should treat the new revision as needing a new decision. The old decision remains readable; it should not be rewritten to look as if it approved the new term.
Check the handoff on an actual case
Select a policy under review and inspect the current revision, owner and coverage. Ask the Authorized Underwriter to record the reason for approval or return. Follow the operation receipt associated with the same policy and compare the expected revision and carrier reference with the policy record. If the receipt shows a failure or review-needed state, ask the Insurance Coordinator to resolve that evidence before telling the owner the policy is issued.
What your team sees
- Policies Under Review — Find policies awaiting an independent decision.
- Operation Exceptions — Investigate failed or review-needed issue receipts.
Follow the work through
Follow policy setup and claim review as the record moves from preparation to a decision. Use the data model to map each handoff to its parent record.
