What you can do
Submit care evidence
The veterinary claim begins as a draft attached to a policy and carrier organization. The Insurance Coordinator records the pet reference, submission time, claimed amount and vet invoice, then submits the revision for review. The reviewer needs to see the parent policy and its revision alongside that evidence. A policy can have more than one veterinary claim, so the selected parent matters as much as the invoice text.
The submitted status marks a queue for an independent decision. The review decision is recorded against the parent policy and source revision, while the veterinary claim holds its own decision time and result. A claim may be approved, rejected or completed. Those states describe the veterinary claim record; they do not by themselves prove a claim payment was made.
How the work is organized
- Policy link. Check the selected carrier and parent policy before submission.
- Care evidence. Keep pet reference, claimed amount and vet invoice with the claim.
- Decision context. Freeze the submitted revision for independent review.
What to agree during setup
Agree what counts as an adequate vet invoice and who checks that it belongs to the pet and policy. Decide how a corrected invoice changes the claim revision and whether the reviewer must make a new decision. If the veterinary practice sends information through another system, define which team reconciles its reference with this claim. Keep the carrier’s final adjudication and any payout evidence in their own records.
Use a case where a policyholder submits a veterinary invoice for a pet with a similar name to another covered pet. The coordinator checks the pet reference, parent policy and invoice together. The underwriter should see the same submitted revision when making a decision.
Check the handoff on an actual case
Open a submitted veterinary claim and check its organization, parent policy, pet reference, claimed amount and invoice. Follow the parent to the applicable policy revision. Ask the underwriter to locate the review decision and decision time for this case. Then rehearse a returned or rejected case and show that the original submission remains understandable after correction. The Auditor should be able to inspect the decision without becoming the claim owner.
