What you can do

Work from the linked record

The medication catalog identifies drug code, name, strength, dosage form, controlled flag and base unit. Each received lot records its supplier, quantity, expiry and release state. Signed stock events carry receipts, dispenses, returns and disposals by lot. The team can inspect the movement history behind an apparent balance instead of treating the received quantity as current availability.

The medication code identifies the item; the lot number identifies the received stock. A lot retains its supplier, expiry, received units and release value. Stock events record later receipts, dispenses, returns and disposals as signed changes, so the team can investigate movement by lot.

How the work is organized

  • Catalog the drug. Match its code, strength, form and base unit to the source.
  • Receive the lot. Enter supplier, received units, expiry and release state.
  • Trace movement. Read signed events by lot and compare them with dispensing lines.

Expired lots lists lots whose expiry date has passed or is today. The stock event history shows signed movements with their source identities. A coordinator checks the release value and expiry on the lot itself before linking it to a dispense review.

What to agree during setup

Agree the catalog source for drug codes and the staff member allowed to release a lot. Choose how supplier names and lot numbers are checked at receipt. Decide how the team handles an approaching expiry and how a return or disposal is recorded with a source identity.

Rehearse one medication with a received lot and a later dispense event. Agree who enters the receipt, who changes the release value and who investigates a signed movement without a matching source. Compare dates and units before selecting a lot for review.

Check the handoff on an actual case

Start with a medication and a received lot. Enter its expiry date, received units and supplier. Check the release state before selecting it for a dispense review. After recording a dispense, compare the dispensing line with a signed event for that lot. An auditor can inspect the receipt and dispense trail by date and source.

The next person opens the lot to confirm its medication, expiry and release value. An auditor follows the signed events to explain movement since receipt. Keep the event source identity so an apparent duplicate can be investigated against the physical transaction.
