What you can do
Prepare the media record for a real event
An activation session belongs to an event and organization. It identifies the brand, the consent template, the start time and the number of photos delivered. Media Operator prepares that record while the event team runs admissions. The session status follows preparation, submission, decision and completion, so the team can see whether media is ready for release.
For a brand activation with a digital photo handoff, the operator should know which client owns the event and which consent text governs the release. A session linked to the wrong organization creates a serious handoff problem even if the photos are ready. Keep the event and organization links aligned before asking for a decision.
How the work is organized
- Prepare context. Link the session to the event and organization and enter the brand and consent template used for that activation.
- Submit a revision. The submitted session is the version the reviewer decides, with its revision held for the decision.
- Complete release. The reviewer records the decision time. After approval and delivery evidence, the operator records the delivered-photo count.
The supporting record may include an event attachment and a provider delivery reference. Media Operator should be able to explain which file or receipt supports completion. The Independent Reviewer needs the same session context when deciding whether it is suitable for release.
What to agree during setup
Agree how a consent template is selected and who maintains its text. Decide what delivery evidence the team accepts from its distribution service and when the delivered-photo count is updated. The review policy should make the reviewer independent of the preparer. Establish what happens after a returned decision: the operator revises the session, submits a new revision and seeks a fresh decision before completion.
Choose a representative pilot event with a brand and a real consent pattern. Use one session that can be approved and one that should be returned because its supporting evidence is incomplete. Keep any provider integration terms explicit so staff know where delivery confirmation comes from.
Check the handoff on an actual case
Create a session for the pilot event and confirm its organization agrees with the event’s organization. Add the brand, consent template and supporting evidence. Submit the revision and inspect the review queue. Have the Independent Reviewer decide that exact version, then confirm the approved session appears in the media list. Complete it only with a delivery receipt. Change the session after submission and check that the older decision cannot authorize the changed version. Finally, inspect the delivered-photo count on the completed session and the decision time on the event review record.
