What you can do
Keep attendance tied to the event
An admission line represents a reserved or admitted attendee quantity for one event. It can carry an attendee reference, price, reservation time, admission time and provider receipt. The parent event gives the line its operating window and capacity. Admission Operator works from open events and records the line that the event team can later reconcile.
At a photo booth entrance, a reservation might be made before doors open and admitted once the guest arrives. The distinction between reserved and admitted time helps the team see whether demand translated into attendance. The reference helps staff avoid entering the same attendee twice, while quantity lets the event total be compared with capacity.
How the work is organized
- Reserve against scope. Use the open event and its approved capacity before adding another attendee line.
- Record the arrival. Set the admission time when the attendee actually enters, preserving the earlier reservation time.
- Keep evidence close. Store the provider receipt reference on the line when it belongs to that admission.
The Event Manager should know how many places remain before authorizing more reservations. An Admission Operator who sees a duplicate attendee reference should investigate the existing line rather than create another place for the same attendee. A capacity overrun affects the field team immediately and can also confuse later payment reconciliation.
What to agree during setup
Decide what an attendee reference means in your event operation and how it will be collected. Agree when a reservation expires or is corrected, how a group quantity is entered, and who records the actual admission time. If pricing applies, settle the convention for the US dollar amount and the receipt reference passed by the provider. Make sure the event owner and admission crew use the same event record number when asking about a guest.
A pilot should include a small open event with several reservations, a late arrival and one deliberately repeated reference. Use an event that is close to capacity so the team can see how another reservation affects the remaining space. Keep the sample admissions linked to a single parent event for the first rehearsal.
Check the handoff on an actual case
Use an event already marked open, reserve an attendee reference and enter a quantity that fits the capacity. Confirm the new line appears with a reservation time and parent event. Admit the guest and check that the admission time is visible. Repeat the reference and then try a quantity beyond the event capacity. Those attempts should be stopped before an additional accepted line is created. Finally, compare admitted quantity with verified payment evidence and inspect the operation receipt created for the action.
