Prepare each review with Proto

Ask Proto to prepare group, dispatch and delivery review from the app's records.

It can

  • Group Coordinator: Summarize a group's leader, travel dates, participant count and dated services before the departure briefing.
  • Dispatcher: Prepare a review of requested trips, assigned vehicles and drivers, planned intervals and ordered stops.
  • Driver: Show the assigned journey and the stop details needed for the next movement entry.
  • Operations Manager: Collect the trip timeline, recipient evidence and draft charge lines for a human decision.

Stays with a person

  • Dispatcher approves a trip assignment.
  • The driver records the actual movement and recipient handoff.
  • Delivery confirmation authorizes the trip's charge lines.
  • Operations Manager checks the authorized lines before invoicing.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Map people and fleet

Set up users, staff and volunteer records, parties and vehicles. Check capacity units and who may verify trip files.

  2. Prepare a group

Enter a representative leader, dates and participant count, then add dated accommodation, meal, transport or visit arrangements.

  3. Rehearse dispatch

Create a requested journey, review vehicle and driver availability, approve it and order its stops. Include a conflicting assignment case.

  4. Follow the route

Have Driver record actual departure, stop times and trip end on the pilot journey.

  5. Close and review

Record recipient evidence, investigate a disputed case and review draft charge lines with Operations Manager.

All questions
How do I get started?

What does a group record contain?

It keeps the group name, departure and return dates, participant count and a leader selected from people records. Services can be linked to that group.

Which services can we arrange?

Pilgrim services record Accommodation, Meal, Transport and Visit arrangements with a service date, provider and confirmed quantity.

How is a trip assigned?

Dispatcher reviews the customer, origin, destination, planned dates, vehicle and driver before approving a requested trip and scheduling its ordered stops.

Where do we see planned departures?

Pilgrimage Group Calendar shows group travel dates. Trip Schedule shows planned start and end for approved and active journeys.

How do drivers record progress?

Driver records actual trip start and end and actual arrival and departure on ordered trip stops.

Can we attach transport documents?

Transport documents keep a file with its trip, document type and a person selected as verifier.

How is delivery confirmed?

Delivery evidence keeps the trip, recipient, delivery date, proof attachment and Pending, Confirmed or Disputed status.

What happens to charges after delivery?

Operations Manager reviews trip charge lines with the journey and delivery context, then reviews charge lines authorized by the delivery confirmation. The invoiced state records the later billing handoff.
