What you can do

Plan the teaching window

A course has a code, name, capacity, instructor and start and end dates. Its status separates Planned, Open and Active delivery from Completed or Cancelled work. Class sessions carry their own start and end times, room and delivery state. The Instructor uses these linked records to know when teaching is scheduled and which course each session belongs to.

How the work is organized

The Education Administrator sets the course and its capacity before approving enrollment requests. The Instructor reviews the sessions linked to that course and marks delivery against each scheduled session. An enrollment can be activated only after the linked course has been checked for lifecycle and capacity. Keep course and session status distinct so a Delivered session does not imply that every learner has completed the course.

  • Set the course boundary. Use the course delivery window and instructor before opening requests.
  • Schedule each meeting. Keep session start, end and room with the course reference.
  • Close delivery deliberately. Review attendance and outcomes before treating an Active enrollment as Completed.

What to agree during setup

Agree who creates courses and who maintains class sessions. Set the capacity rule the Education Administrator will use at approval. Reconcile course codes with existing records before importing a term. Check whether the instructor’s linked People record is active and associated with the right user account. Decide how a cancelled session will be represented without losing the original schedule.

Check the handoff on an actual case

A course is Open and the next class session is Scheduled in a named room. The administrator checks capacity and activates an approved enrollment. The Instructor opens the schedule, delivers the session and records the attendance outcome for the learner. This sequence keeps the decision about a place separate from the evidence that teaching occurred.

If a session is cancelled, preserve its course, room and dates while changing the session state to Cancelled. A replacement session should have its own scheduled record. The Instructor should not mark attendance against the wrong meeting just because it belongs to the same course. Before a pilot expands, compare the delivered sessions and attendance rows for the same learner and course.

The administrator can use the course code to compare imported requests with the intended offering. The Instructor can check the named room and meeting window before recording delivery. When a meeting changes, review the related attendance entries before using the new schedule. That keeps the learner’s place, the teaching event and the outcome tied to the course they actually describe.

What your team sees

  • Course schedule — Planned, open and active courses with their delivery windows and instructors.
  • Class session schedule — Scheduled and delivered meetings by room and course.
