What you can do

Give each drive a cohort

A recruitment drive records the employer, role title, drive date and eligibility criteria. Its operational record links to an enrollment, which carries the learner and course context. The Instructor can capture the drive against the selected enrollment, while the Placement Coordinator uses it to organize applications. Keeping that link visible helps the team explain why a learner was considered for a particular opportunity.

How the work is organized

Before saving a drive, the capturing Instructor checks the enrollment and its learner and course. The employer name, role title and drive date identify the opportunity; a repeated combination should be refused as a new record. The date must fit the agreed window. The Placement Coordinator then reviews the criteria and prepares the application path for eligible learners.

  • Check the enrollment. Confirm the selected enrollment record before adding employer details.
  • Preserve the opportunity identity. Review employer, role and date together before creating another drive.
  • State eligibility plainly. Record the criteria where the application reviewer can consult them.

What to agree during setup

Agree who may capture an employer opportunity and who maintains its criteria. Decide how the placement team chooses the enrollment record used for a cohort and what date window is acceptable. Reconcile employer naming conventions before importing existing drives. Use a repeated employer-role-date combination in the rehearsal so staff can see how duplicate capture is handled.

Check the handoff on an actual case

An employer plans a drive for learners in an active course. The Instructor selects the intended enrollment, checks its learner and course, and enters the employer, role, date and criteria. The Placement Coordinator opens the resulting drive and confirms that the linked enrollment points to the expected course. An application can then refer to that drive and to the learner who is applying.

Suppose the same details are submitted again. The new capture should be refused, and the team should review the existing drive. If the selected enrollment points to the wrong course or the date lies outside the acceptable window, correct the context before recording the drive. The application reviewer should not have to infer eligibility from an employer name alone.

The placement team should also compare the application’s learner with the enrollment that anchors the drive. The drive link supplies one learner and course context; it is not a list of everyone enrolled in that course. If other learners apply to the same opportunity, each application still needs its own learner reference and eligibility review. This distinction matters when staff explain a decision for a candidate outside the original enrollment.
