What you can do

See the portfolio before opening an engagement

Operations Overview brings contracted value, approved delivery time and open exceptions across every engagement into one working page. The point is to help Operations Lead decide where to look first: a commitment approaching its due date, approved hours that need a billing handoff or an operation result that requires investigation. The engagement record remains the place to check the client, owner, fee and current status before taking action.

The headline numbers come from different parts of the work. Contracted value is tied to agreed engagement fees. Approved delivery time belongs to service entries. Open exceptions belong to operation receipts with results that need attention. Keep those categories distinct in discussion: a high agreed fee says nothing by itself about accepted delivery, and entered hours are not the same as approved hours. The overview starts a review; its linked records provide the detail behind each decision.

How the work is organized

  • Commitments. Operations Lead reads agreed fees, due dates and status on engagements before escalating a delivery concern.
  • Delivery time. Billing Lead checks approved hours on service entries and matches invoice references to the finance handoff.
  • Exceptions. Operations Lead follows failed or needs-review receipts to their parent engagement and failure reason.

What to agree during setup

Choose a regular review rhythm and name the person who owns it. Agree whether the team reads contracted value for active work only or includes accepted and closed engagements in the period under review. Decide how approved hours will be grouped by worker and engagement. Assign each exception a follow-up owner, even though the receipt itself stores the result state rather than a separate assignment. Define where an external reference is checked before a receipt is treated as complete.

Time zones matter when comparing due dates and decision dates across teams. Admin should confirm the organization and team member time zones before using the overview for a daily cut-off. If the consulting practice works in multiple organization currencies, agree with finance on the reporting basis for USD-denominated engagement fees.

Check the handoff on an actual case

At a weekly delivery meeting, Operations Lead sees a manufacturing client engagement due soon, approved service hours and a receipt marked for review. Engagement Owner opens the engagement and checks the contracted subject, client, owner and lifecycle status. Billing Lead opens the service entries to distinguish approved hours from all recorded hours and checks the invoice reference. Operations Lead opens the receipt, reads its failure reason and external reference, then asks the responsible person to reconcile the actual effect before updating the result.

Repeat that meeting with a second engagement that has a similar fee but a different billing method. The overview should prompt the right follow-up on each engagement, while the detail records explain the difference between fixed-fee and time-and-materials work.

What your team sees

  • Operations Overview — Contracted value, approved delivery time and open exceptions across engagements.
  • Operation Exceptions — Receipt results requiring investigation with their parent engagement.
  • Active Engagement Board — The lifecycle position, owner and agreed fee for current work.
