What you can do

Shoot days in daily work

Shoot days links the date and location to a work package and organization. A coordinator can record planned hours and the call sheet revision, then move the record through Draft and Submitted. During setup, agree who reviews the submitted revision and supporting package evidence. Shoot days has Approved, Rejected and Completed statuses plus a decision date; the Project Coordinator can update the shoot day record after the team decides.

How the work is organized

  • Source. Start with the production, package or person named on the record, then follow its explicit references.
  • Decision. Keep the latest status and revision visible to the person responsible for the next action.
  • Evidence. Open the child records before concluding that the work is ready for review or complete.

What to agree during setup

Agree which revision of a call sheet the team is reviewing and where supporting attachments belong. The organization on the shoot day should agree with the package organization. Location is a recorded description, so choose a naming convention people can recognize when they review several days at the same site. Decide who communicates the approved call sheet outside the workspace.

Check the handoff on an actual case

For a night exterior, the coordinator enters the shoot date, location and planned hours, records the call sheet revision, and submits the day. The reviewer opens the related package and evidence. The team decides how to review a revised call sheet before changing its status. After an approved shoot day occurs, the coordinator can mark it completed while retaining the earlier review details. The auditor can later compare the completion with its original package and decision date.

A shoot date can move while a call sheet revision remains the same, or a revision can change while the date stays put. Check both values during review. The location should be recognizable to the people preparing the day, and the planned hours should reflect the scope being discussed. If a submitted day is marked Rejected, the coordinator revisits the package and supporting evidence. Before marking a day Completed, check the shoot day revision and the agreed review outcome.
