What you can do
Work packages in daily work
Project Coordinator creates each work packages record with its production project, subject, owner, due date and budget hours. The status distinguishes drafting, planning, active work, review, acceptance and cancellation. The revision and baseline revision help the team identify the scope being prepared for review. A work package is the parent for shoot days, tasks, attachments, decisions and operation receipts.
How the work is organized
- Source. Start with the production, package or person named on the record, then follow its explicit references.
- Decision. Keep the latest status and revision visible to the person responsible for the next action.
- Evidence. Open the child records before concluding that the work is ready for review or complete.
What to agree during setup
Agree how large a package should be, who owns it, and when it is ready to move from planning into active production. The owner should be a team members record in the correct organization. Set the budget in hours, because that is the measure available on the package. Decide who reviews changed scope, which record holds the decision and when a new revision needs another review.
Check the handoff on an actual case
Consider a location package planned for a Monday shoot. The coordinator gives it a due date and hour budget, adds preparation tasks, and checks the proposed shoot day. After work starts, the team logs actual hours against tasks. Before acceptance, the reviewer looks at the current revision and attached evidence. If the package changes after review, ask the team to review the changed revision. A cancelled package remains distinct from accepted work. The coordinator checks the package status and its accepted date before reusing any evidence. If the team uses review decisions, compare its source revision with the current package revision; a matching subject alone cannot establish what scope was reviewed. When a due date changes, the owner should review task deadlines and shoot dates linked to that package before the team relies on the new plan.
