What you can do

Keep the working decision visible

An episode carries the series name, episode number, title, audio file and planned publish time. Its operational record links back to the content item that holds the editorial decision. Producers move the episode through preparation and review before scheduling it. The same link lets the Editor inspect content approval when platform delivery is acknowledged.

An episode marked Scheduled is a plan for release. A Published episode belongs to the completed delivery record. Keep the audio attachment, linked content and platform evidence together when reviewing an exception or a later correction.

How the work is organized

  • Trace the owner. Keep the series, episode number, audio file and planned publish time on the episode. Its operational record points to the content item that carries editorial status.
  • Follow the links. Move the episode from draft through editing and review one state at a time. The Producer checks the linked content and audio before placing it on the schedule.
  • Make the decision. Read the episode status separately from content approval and platform confirmation. A scheduled episode still needs distribution evidence before anyone records publication.

What to agree during setup

Agree how the team numbers episodes within a series and who changes the planned publish time. Verify that each episode points to the intended content item. Rehearse a request to skip review and a correction to the audio attachment before scheduling.

Check the handoff on an actual case

A producer prepares an interview episode with its audio file and planned publish time. The editor reviews the linked content item and current revision. The producer moves the episode through review to scheduled, then connects each platform receipt to that episode. If the planned time changes, the team can see the episode schedule without rewriting the content approval or losing a receipt.

The Producer hands the scheduled episode and its audio to the person capturing platform receipts. The Editor can trace the operational content item from that episode when reviewing publication. If the planned time shifts, update the episode plan and recheck any receipt already linked to it.

When a new audio file replaces an earlier attachment, the Producer checks that the episode still points to the right content item and planned publish time. The Editor checks the linked editorial decision before the Producer hands the revised episode to distribution.
