What you can do

A property record follows its opportunity

A listing is the property’s operational record. It belongs to the opportunity and organization behind the engagement, so the team can trace the address, asking price, property type and intended publication date to the owner and counterparty. The status and revision show which version is still being prepared, which one is under review and which one has been approved.

The Relationship Owner prepares the listing and submits a revision. Supporting attachments establish owner authorization and the details to be published. A Sales Manager decides on that same revision, with a separate decision record naming the reviewer, decision date and reason. A rejected listing can be corrected and submitted again. Completed remains visible beside the published date and parent opportunity, so the listing book retains its history.

How the work is organized

  • Linked scope. A listing’s parent opportunity and organization define the engagement that owns the property record.
  • Evidence before approval. Address, asking price, property type and publication date are checked against supporting files.
  • Revision-aware review. A decision concerns the submitted revision, not a later edit to the property details.

What to agree during setup

Agree how addresses are entered and which property type descriptions the team will use. Decide which authorization documents the Relationship Owner must attach before submission, and whether the shared visibility setting is appropriate for each file. Set a rule for the publication date and for correcting an asking price after the owner has approved it. Identify the Sales Manager who can review each listing without reviewing their own submission.

A brokerage with more than one organization should rehearse cross-organization cases. A listing under one organization cannot borrow a decision or evidence from another engagement. Ask the team to prepare a draft, a returned revision, an approved listing and an attempted edit after approval. The exercise should leave the original decision and receipts visible.

Check the handoff on an actual case

The Relationship Owner creates a property listing for an existing seller opportunity. The owner enters the street address, asking price, property type and publication date, then attaches the seller’s authorization and the supporting property information. After submission, the Sales Manager compares those details with the attachments. If the price in the owner authorization differs, the manager returns or rejects that revision with a reason. The owner corrects the draft and submits a new revision. The manager then records an independent approval for the new version. When the listing is marked complete, the prior review remains attached to the opportunity. A stale decision from the first revision cannot approve the corrected property details.

What your team sees

  • Listings Status Board — Property records grouped by draft, submitted, approved, rejected and completed status.
  • Listing Publication Calendar — Approved and completed listings organized around publication dates.
