What you can do
Put the evidence beside the decision
Record attachments hold the files that support an opportunity and its listing. Each file has a title, evidence type, upload date, uploader and Internal or Shared visibility. A reviewer can follow the listing through its parent opportunity to see what the owner submitted. The Relationship Owner chooses the file and describes its purpose; the Sales Manager checks whether it supports the property details and the authorization claimed.
Review decisions are separate records. A decision names the Sales Manager, source revision, decision date, reason and operation key. Approve, Reject and Return are distinct outcomes. The submitted revision is frozen for review, and a decision on a different revision cannot authorize the new version. The reviewer must be independent of the person who submitted the listing. That separation matters when an address, price or publication date changes after a first review.
How the work is organized
- Evidence on the parent. Authorization and supporting files stay with the opportunity, where the listing reviewer can find them.
- Decision with reason. Every approval, rejection or return records why the reviewer decided.
- Revision match. A decision applies to the submitted revision of the linked listing engagement.
What to agree during setup
Agree which files establish owner authorization and which ones support the address, asking price, property type and publication date. Decide when an attachment may be Shared and when it must remain Internal. Set a standard for the decision reason so another team member can understand a rejection without replaying a conversation. Confirm that the Sales Manager reviewing a submission did not prepare it. Rehearse a return for missing evidence and a rejection for conflicting details.
Teams should also decide who checks a revised submission after a return. The revised listing needs a fresh decision tied to that revision. The earlier decision stays in the record for the Auditor and for anyone investigating a later correction.
Check the handoff on an actual case
A Relationship Owner attaches a signed seller authorization and a property sheet to the opportunity. The listing states an asking price that differs from the signed file. The Sales Manager opens the submitted listing, compares the files and records Return with a reason describing the conflict. The owner corrects the price, updates the evidence where appropriate and submits the new revision. An independent manager checks the current revision and records Approve. Review Decisions Log shows both decisions with their dates, reviewers, reasons and source revisions. The original returned decision cannot be reused to approve the corrected listing, and the owner cannot approve their own submission.
