What you can do
Use an agreement within its approved scope
A master agreement records the supplier, contracting party, effective period and total commitment for repeated purchasing. Buyers can plan releases within that agreement instead of treating every call-off as an unrelated commercial negotiation. Negotiated rates identify the supplier and item price that applies during a defined period.
A release describes the quantities being called off, the schedule and the funding owner. Its generated purchase order connects the agreement to receiving and supplier communication. The agreement’s spent and remaining amounts help the Procurement Manager consider the next release and prepare for renewal before the current term ends.
How the work is organized
- Agreement ownership. The Procurement Manager maintains the signed agreement and its purchasing scope. The owner Buyer follows the day-to-day demand. Start and end dates, renewal notice and status give the team a basis for planning upcoming decisions.
- Applicable rates. Contract rates link the supplier and item to a price, minimum quantity and effective dates. Activation records the responsible person. A release line points to the rate used so the Buyer can explain its price when the supplier or Controller asks.
- Capacity consumption. Releases retain their value, generated order and business event. Signed commitment allocations connect the line effect with the funding authority and agreement. The next call-off must be considered against the remaining approved capacity.
What to agree during setup
Identify the agreements that are suitable for the pilot and reconcile their opening commitment. Check the supplier, contract document and dates with the Procurement Manager. Confirm whether the agreement is direct or uses an existing purchasing arrangement, then record the relevant contracting party without implying additional supplier eligibility.
Agree how Buyers choose rates when a contract is renewed or replaced. Decide who checks minimum quantities and effective dates. Set the notice period for renewal and identify who prepares the decision. Imported agreements need a reviewed starting position so historical spending is not treated as a new live release.
Check the handoff on an actual case
An office services agreement allows scheduled replenishment throughout its term. The Buyer prepares a call-off for supplies needed next month, selects the relevant rate and checks the release value against remaining authority. Follow the released call-off to its generated order and verify that receiving can identify the purchased lines.
Prepare another release that would exceed the agreement’s available commitment. The Procurement Manager must resolve the agreement or purchasing authority before the call-off proceeds. Reducing a quantity or obtaining a revised approved commitment should leave an understandable decision trail.
Also rehearse a release near the agreement’s end date. Check both the agreement period and the rate period. A renewal discussion does not itself establish a new approved term. The Buyer needs to know which active agreement and rate cover the actual call-off before sending the order to the supplier.
What your team sees

- Release worklist — Draft and released call-offs with schedule, value and generated order reference.
Follow the work through
Rehearse agreement call-offs and the subsequent receiving handoff.
