What you can do
Record the guest impact in its own context
A guest service issue holds property name, stay reference, category, opening and resolution dates, and a description of guest impact. It links to an inspection as its operating record. The Property Manager records guest-facing facts while Inspector and Quality Manager continue the quality review on the inspection and its checks.
The category is free text, so the team should agree on working terms. Opening and resolution dates show how long the issue remained active. The linked inspection provides a path to requirement-level evidence and an acceptance or rejection decision. A rejected inspection can produce a nonconformance for quality investigation.
How the work is organized
- Describe the event. Record property, stay reference, category and specific guest impact.
- Connect evidence. Link the issue to the inspection covering the same operating event.
- Track resolution. Record resolution date on the issue while inspection follows its review path.
What to agree during setup
Agree how stay references are handled and who may see guest-impact details. Use enough context for staff to locate the event without putting guest identity into an unrelated quality record. Decide category wording and when a resolution date can be entered. The Property Manager should know which inspection to select, because that link carries the later quality decision.
If guest communication is handled by a property management or messaging system, set up a connection for that handoff. Keep the service issue as the quality-facing record of category, impact and dates. Staff should be able to follow it to the relevant inspection when a repeated problem needs investigation.
Check the handoff on an actual case
A guest reports a room service problem during a stay. The Property Manager records property, stay reference, category and impact, then links the issue to the service inspection for that event. The Inspector records a failed requirement check with observation and evidence. The Quality Manager reviews the inspection and rejects it. A linked nonconformance enters containment. The guest issue receives its resolution date as the guest-facing matter is handled; quality investigation remains on the nonconformance.
Rehearse that the issue and inspection point to the same event. Review the guest impact report by property and category, then confirm the inspection and any corrective action can still be located from that case. The dates should communicate the service response without replacing the inspection decision.
