What you can do

Keep local context with the check

A property check records property name, room number, standard code, date and result. It points to an inspection as its operating record. The property team can retain location and standard in a dedicated record while the inspection holds its assigned person, subject reference, type and review status. The relationship matters when a reviewer needs to understand where a failed result came from.

The result choices are pass, fail and not applicable. A failed property check can be inspected beside the linked inspection and its individual requirement checks. The Quality Manager makes the inspection decision through the normal review path. If that inspection is rejected, the issue moves into a linked nonconformance for containment and investigation.

How the work is organized

  • Locate the observation. Record property and room with the standard code the team applied.
  • Keep the case linked. Choose the inspection for the operating event and record check date and result.
  • Use the review path. Read the property result alongside inspection checks when reviewing the parent inspection.

What to agree during setup

Agree how property names and room numbers are written so a location can be found again. Define the meaning of each standard code and who keeps that code list current. Decide when a result may be not applicable. Give Property Managers a rule for choosing the correct inspection when several visits concern the same room.

A room condition may also affect a guest. In that case, keep guest impact in a guest service issue linked to the same inspection. This gives the reviewer local property evidence and guest-facing context without compressing them into one observation.

Check the handoff on an actual case

A Property Manager checks a room against a service standard and records a failed result with property, room, code and date. The record points to the service inspection for that visit. The Inspector adds requirement-level observations and evidence to the inspection, then submits it for review. The Quality Manager reads linked check evidence and property result, and rejects the inspection if the issue requires investigation. The ensuing nonconformance retains the inspection link.

Rehearse a passing check too. Confirm that both results remain attributed to their inspections and a failed property result is visible on the exception list while the inspection is in review. A later audit can cite the same standard code when its scope covers that property.

What your team sees

  • Property check exceptions — Failed results with property, room and standard code.
  • Open inspections — The operating records to which property checks attach.
  • Inspections in review — Cases where the Quality Manager makes the decision.
