What you can do

Turn an exception into assigned work

A follow-up action belongs to a property packet. It has a title, due date, assigned person, status, completion time and resolution. A reviewer can use it to explain the repair needed after a returned decision. An operator can use it when an evidence source or execution receipt requires further checking. The packet remains the context for the action, so the assignee can inspect the underlying documents and decision rather than working from a bare reminder.

Open and in progress describe current work. Completed records when the assignee has resolved the issue and written the outcome. Cancelled records that the action will not proceed. Closing an action does not itself approve a packet or confirm a share; those decisions remain on the review and packet records.

How the work is organized

  • Assignment. Give each action a person who can find the source packet and resolve the question.
  • Due date. Use a date that reflects the property work, especially when a sharing expiry is near.
  • Resolution. Record what changed and where the supporting evidence can be found before marking the action complete.

What to agree during setup

Agree who may create an action, who may reassign it and what a resolution must contain. Decide whether an overdue action should be escalated to the Packet Owner or Sharing Manager. The due date is a work target; the team should not treat it as proof that the packet is ready to share. Also settle how a cancelled action is explained so an auditor can distinguish a duplicate request from a dropped unresolved issue.

When a reviewer returns a packet, the assignee needs the precise reason and evidence reference from that decision. When an execution attempt fails, the assignee needs the provider reference and failure reason. Those links keep the action grounded in the event that caused it.

Check the handoff on an actual case

A reviewer returns a packet because the deed’s parcel identifier differs from the property definition. The Packet Owner assigns a follow-up to the person who can obtain the authoritative deed and sets a due date. That person records the corrected source, adds a title document version and explains the resolution. The action can be Completed, but the packet still needs a decision on the new revision. In another case, a failed share attempt may call for provider reconciliation; the action remains in progress until the original attempt’s outcome is known. Neither action status substitutes for the packet’s business status.
