What you can do

Evidence before confirmation

Bank evidence holds provider event identity, occurrence time, amount, evidence type and verification flag. Reconciliation items links an event to an account and matched instruction and records whether it is unmatched, matched or an exception. Account snapshots gives the analyst dated ledger and available balances from the provider. Operation receipts retains the outcome of reconciliation actions.

How the work is organized

  • Identify the record. A settlement event arrives for an instruction whose provider identity matches but whose amount differs. Reconciliation Analyst leaves it as an exception and keeps the event identity visible. A second event with an exact identity and amount can be matched to the intended instruction. The verified flag on evidence and the confirmed instruction status should follow actual stored evidence, not a manually assumed success.
  • Keep the match exact. Reconciliation Analyst compares the provider event identity and amount with the intended instruction and account. An approximate amount remains an exception.
  • Follow the effect. operation receipts reaches Completed only when the stored source and effect identities, scope and revision can be verified.

The provider event identity links an evidence line to a reconciliation item. The account and matched instruction references on that item let the analyst examine the exact case rather than infer settlement from a balance snapshot.

What to agree during setup

Agree the provider event namespace, the account mapping and how corrections appear. The team must distinguish a repeated event from a new event on the same day. Decide who reviews exceptions and whether a corrected provider message replaces or supplements the previous evidence line. A snapshot is read-only context; it does not by itself identify the event that settled a particular instruction.

Treasury Manager should name the owner of unmatched and exception items. Rehearse duplicate provider delivery and a correction that preserves the original event. Keep snapshots read-only and retain the original evidence while any compensating action awaits review.

Check the handoff on an actual case

Rehearse an event that exactly matches provider identity and amount, then a repeated event, then an amount mismatch. Inspect the reconciliation item and operation receipt after each attempt. A repeated event must not count twice. The mismatch must remain visible in Unresolved Reconciliation Items with its account and provider event identity, while the matching event can support a verified settlement.

The next analyst should see the original provider identity, amount and reconciliation state. Repeat the event with the same identity and check that it does not create another matched settlement.

What your team sees

  • Unresolved Reconciliation Items — Unmatched and exception events awaiting analyst investigation.
