What you can do

Give the review a defined subject

The Control Owner opens an assessment with a record number, subject, period start, organization, owner, counterparty and amount. The period end can make the time boundary clearer when the review spans more than a single date. The status identifies draft work, review, approved or rejected work, and later submitted, pending or closed work. Revision helps the reviewer see which version was considered.

The owner should write a subject a reviewer can recognize without relying on an outside email thread. For example, an assessment covering a renewable energy business unit’s monthly application activity can name that unit and month. The amount is a financial value recorded on the assessment; do not use it as a stand-in for energy quantity. Put any external instruction reference in the dedicated provider instruction field when it is available.

How the work is organized

  • Scope. The organization and counterparty identify where the assessment belongs; the owner identifies who prepares it.
  • Time and value. Period start, optional period end and the recorded amount describe the review window and financial basis.
  • Decision trail. Status, revision and approval time let a reviewer compare the current record with a recorded decision.

What to agree during setup

Agree how record numbers are assigned and when a draft is complete enough for review. Define the period convention, including whether the end date is inclusive. Set the meaning of the amount for each assessment type so totals do not combine unrelated financial bases. Agree who may edit a draft and what requires a fresh reviewer decision after a change. The reviewer should be able to see the revision they approved and the supporting records behind it.

Choose a naming pattern for subjects and a clear owner for exception follow-up. A visible review status is useful only when the team knows what evidence belongs with the submission. Record attachments under the assessment and ask testers to record dated checks before the owner sends it for decision.

Check the handoff on an actual case

A Control Owner prepares an assessment for one organization’s business unit over a defined period. They enter the subject, amount and record number, attach the relevant source material and ask the Assessment Tester to add a dated check. The Independent Assurance Reviewer opens the review queue, reads the current revision and records an Approve, Reject or Return decision with a reason. If the owner changes the amount after review, the team compares the new revision with that decision before treating it as approved. The assessment remains traceable to the original organization and owner throughout.

What your team sees

  • Draft Assessments — Prepare records with their period, owner and counterparty before review.
  • Assessment Period Schedule — See the start and end dates of work moving through preparation and review.
  • Assessments Awaiting Review — Give the independent reviewer the subject, owner, revision and amount needed to start a decision.
