What you can do

See where work stands

Operations Overview brings posted value, ledger balance, pending decisions and failed operations into one place. The Operations Manager can move from a posting month to the underlying accounting documents, or from a failed action to its parent document and recorded reason. This helps the team separate an accounting result from a pending review or cash application.

How the work is organized

  • Posted activity. Compare document postings with journal debit and credit by posting month.
  • Pending work. Follow documents and rent schedules waiting for decisions.
  • Exceptions. Use operation receipts to locate failed actions and the affected parent.

What to agree during setup

Choose who may see financial totals across organizations and who is limited to their own entity. Agree how a failed operation is assigned for investigation and when an independent reviewer is required. Keep a consistent definition of posted value and cash applied, since a balanced journal and a verified provider receipt answer different questions. Reconcile source records before treating an operation as complete.

Check the handoff on an actual case

Post a reviewed invoice, then bring in a partial verified receipt. The overview should show the posting in its month while the cash application still reflects only the amount collected. Follow a failed posting attempt from the exception queue to its recorded reason and parent document. If a reviewer returned a document, trace the decision to the submitted revision and supporting attachment. The Operations Manager should be able to identify the owner of the next action without changing the financial result just to clear the queue.

Begin each review with the question the operator is trying to answer. Posted value comes from posted documents and ledger effects; pending decisions come from the review stage; failed actions come from operation results. Keep those populations separate when comparing a month. For a failed action, follow the parent document, inspect the result time and reason, and ask the specialist whether any journal or application effect already exists. A repeat request without that check can create a second effect. In the rehearsal, assign an exception to the Ledger Accountant and one to the Cash Reconciler so the manager can see which record each person uses to resolve it.
