Prepare the next review with Proto

Prepare program reviews, evidence checks and research reporting with Proto.

It can

  • Program Officer: Find active programs with activities due this month and open their related milestones.
  • Reviewer: List expense claims in review with their evidence and linked award restrictions.
  • Research Analyst: Compare a measure's reported periods with its numerator and denominator definitions.
  • Principal Investigator: List publications for a project with their dates and identifiers.

Stays with a person

  • An authorized person decides whether a funding award or expense is eligible.
  • The Reviewer must inspect the restrictions and source evidence.
  • The Finance Officer confirms payment status from the agreed payment source.
  • Proto can organize records and prepare the review, while the team retains the decision and checks its outcome.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the program boundary

Choose one funded program, its owner, period and budget. Name the award reviewer and the person responsible for expense and outcome evidence.

  2. Map existing identities

Match People to Users, projects to protocol references, outputs to external identifiers and every child record to its program or measure.

  3. Configure the pilot

Load an award with restrictions, an assigned activity, a milestone, a measure, a research project and an output. Define the status handoffs with the team.

  4. Rehearse decisions

Review a proposed award, a supported claim, an unsupported claim and a period result. Check the evidence and the person who decides.

  5. Reconcile and release

Compare awards, expense amounts, outcome periods and output identifiers with their source. Obtain the program and finance owners’ acceptance before expanding.

All questions
How do I get started?

Click Get started, then use Proto to configure Research Management System for your business. Pilot one funded program with its award, an expense under review, a defined outcome measure, a research project and one output.

What is the main record for funded work?

The program carries the owner, period, budget and lifecycle status. Awards, expenses, activities, milestones, measures and projects link back to it.

Can I track award restrictions?

Yes. Each funding award records its funder, amount, award date and restrictions against a program. The Reviewer uses that context when deciding eligibility.

How are expense decisions recorded?

An expense has a category, amount, evidence and status. A claim moves through review before it is approved or rejected. Paid is a later status for an approved claim.

Can I track research outputs?

Yes. A publication, dataset, patent or presentation links to a research project and records a title, publication date and identifier.

How are project identities kept clear?

Each project links a program and principal investigator with a protocol reference and period. The team should check repeated protocol references during intake.

What can we report about outcomes?

Define a measure with a unit and numerator and denominator definitions. Record each result for a stated period with the values and supporting evidence.

Can the team see due work?

Open Activities and Open Milestones help staff find assigned work and dated milestones. The Business Overview also brings assigned activities and specialty review records into one place.

What should we migrate first?

Start with people and programs. Add awards, work and measures, then projects and outputs, then claims and period results with evidence. Reconcile one pilot program before expanding.
