What you can do
Make each departure usable for booking
Activity Coordinator records the activity name, guide, start, end and capacity for a scheduled departure. The guide points to a person in the staff roster. That connection gives the team an accountable person for the event and lets guest bookings reference a specific departure instead of an activity name that could repeat on several days.
A departure should have a sensible interval and positive capacity before the team books guests onto it. The capture workflow validates those details and rejects repeated source identity. Activity Coordinator should settle the guide and schedule with the resort before publishing the departure to staff. A change to a departure’s time can affect reservations already linked to it, so review those guests before relying on the new schedule.
How the work is organized
- Departure identity. Use the departure code to distinguish repeat sessions of the same activity.
- Guide and time. Keep the staff link and start and end times together for scheduling decisions.
- Capacity. Compare planned participation with the departure’s limit before accepting a booking.
What to agree during setup
Decide who maintains the guide roster, who schedules departures and when staff may revise an event that already has guests. Agree on the time convention used for departure and stay dates, especially for activities near arrival or checkout. Choose how the coordinator handles a guide who becomes inactive. The staff roster records active state; coordinators should review it when selecting a guide. Decide who contacts guests when a session changes.
Check the handoff on an actual case
The coordinator schedules a morning excursion led by a named guide. A start before the end and a positive capacity are required. If the guide link is missing or the interval is reversed, the departure capture is rejected for correction. Once the record is sound, staff can find it on the departure calendar and attach a guest activity booking to that exact session. A second source event for the same departure should be recognized rather than creating another scheduled session.
When several guests request the excursion, the coordinator reviews each linked booking and the number of participants. The capacity on the departure is the reference for whether a booking’s participant count is individually valid; the report also helps review the combined planned load.
