What you can do

Know what can be sold

Each unit has a number, type, capacity and operational status. Front Desk needs those facts before confirming a stay. Housekeeping needs the same status at checkout, when an occupied unit moves into cleaning and later returns to available after inspection. Maintenance is a distinct state and should be treated as a reason to find another unit for a guest request.

Rate plans describe nightly rates and minimum nights by unit type over a dated interval. They help Front Desk review the price entered on a reservation. The reservation also stores its own nightly rate, so staff should agree when that amount is fixed and how a later rate-plan update affects new requests. A rate-plan row is planning context; it does not change a guest’s already recorded stay by itself.

How the work is organized

  • Unit inventory. Keep the unit number, type and capacity accurate before taking requests for that lodging.
  • Operational state. Use available, occupied, cleaning and maintenance consistently across front desk and housekeeping work.
  • Dated rates. Review start and end dates, nightly amount and minimum nights for the relevant unit type.

What to agree during setup

Agree which team maintains unit capacity and status, and when housekeeping can return a cleaned unit to available. Choose how overlapping rate-plan dates are reviewed and who approves a change to the nightly rate entered on a confirmed stay. The app records both the unit type on a unit and the unit type on a rate plan; use one naming convention across them. Decide how a maintenance task changes the unit’s operating status, so front desk staff see the same condition as the service team.

Check the handoff on an actual case

A two-night request arrives for a four-person party. Front Desk first checks the selected unit’s capacity and current status. If it is occupied, the requested stay cannot simply be confirmed because the rate looks right. Front Desk chooses an available unit with enough capacity, checks the dated rate plan for its type, and records the agreed nightly rate on the reservation.

After a prior guest checks out, the unit enters cleaning. Housekeeping finishes its inspection only after the account is settled and the inspection task is completed. The unit then becomes available for the next reservation. This sequence makes the availability shown to Front Desk reflect the work actually completed.
