What you can do
Turn an engagement into owned work
A Resource groups part of a booking’s delivery work. Its owner can set the available date window and capacity hours. A booking resource is the individual piece of work within that group: it has a named assignee, priority, start and due dates, reserved hours, actual hours and progress. The Project Manager can use the group to discuss a workstream, while the Team Member uses the assignment to see what is expected this week. Both records point back to the engagement.
For a client implementation, the manager might create a preparation group followed by a delivery group. Within preparation, separate assignments can carry the analysis and design work. The person receiving an assignment sees the due date and reserved hours. When a task becomes blocked, the team can identify the assignee and booking immediately, then decide whether to move the date or change the work plan. The blocked state is visible alongside work still in progress and items under review.
How the work is organized
- Work groups. Each group belongs to one booking and carries a planned window and capacity hours.
- Assignments. Each item belongs to a group and can name an assignee and reservation of hours.
- Progress. Priority, status, due date and actual hours explain which items need attention.
What to agree during setup
Set a naming convention that makes work groups meaningful to the delivery team. Agree who assigns people and who updates reserved hours when the scope changes. Choose how a team member signals that an item is ready for review and who can move it to done. Use priority consistently so blocked high-priority work is visible in the same way across bookings. Review team members’ weekly capacity before making a commitment, but make the assignment and its reserved hours the recorded plan.
Check the handoff on an actual case
Create a booking with a work group and assign two items to different team members. Set start and due dates and reserve hours on each. One member moves an item into progress; the other flags a blocker. The Project Manager should see the first in Booking Resources In Flight and the second in Blocked Booking Resources. The Task Board by Status should show both without confusing the group with an individual assignment. The assignees should each find their own work in My Booking Resources.
After the work is done, compare actual hours on the assignment with its reservation and read related dated usage. This gives the lead a practical review of plan versus execution. Do not infer a time approval from an item marked done; time is submitted and decided on its own record.
