What you can do
Make the condition decision explicit
A return grade carries the return reference, accepted units and disposition for its parent stock request. The Inventory Clerk prepares the grade after inspecting the return. The accepted quantity can differ from the request quantity, and the disposition explains what should happen to the stock. This is the place to state the operational judgment before a supervisor permits the linked stock action.
A saved draft can be revised while the inspection is still underway. Submission gives the supervisor a stable version to decide. The page action moves a draft to submitted, then lets a reviewer approve or reject it. The reviewer must be someone other than the grade creator. Every accepted move advances the grade revision, so a second person working from an older screen cannot quietly overwrite the current decision.
An approved grade can later be completed. Completion is a distinct step after the decision, not another name for approval. The team should agree what physical and record checks they expect before marking the grade complete. The stock request has its own execution and movement evidence, so the grade’s completion should be checked against that linked case rather than treated as proof that inventory changed by itself.
How the work is organized
- Inspection facts. Record the return reference, accepted quantity and disposition on the grade tied to the request.
- Independent review. Submit the current grade for a supervisor to approve or reject.
- Revision control. Work from the latest grade version when a condition finding changes.
What to agree during setup
Agree how inspectors describe dispositions so the same judgment is not entered under several informal terms. Decide when accepted units are final enough for submission, what evidence is needed for a partial acceptance, and who reviews disputed grades. Train clerks to keep the grade linked to the original request even when a replacement package or corrected reference arrives.
Check the handoff on an actual case
A clerk inspects a return of ten units. Eight are accepted and two require a different disposition. The clerk records the accepted quantity and explanation, then submits the grade. A supervisor examines the linked request and evidence. Approval records the reviewed version; rejection sends the case back for correction. If the clerk edits the grade after the supervisor opened it, the older decision attempt is refused and the reviewer reads the current revision before deciding.
What your team sees
- Review Queue — Work through submitted grades and the linked request before making the grade decision.
- Open Stock Requests — Check the request quantity and owner that the grade is meant to serve.
Follow the work through
Use grade and decide for the review sequence and release and execute for its stock effect.
