Prepare the next decision with Proto

Use Proto to prepare and inspect rate and stay work with your team.

It can

  • Revenue Manager: Compare demand observations, plan dates and proposed rates for a stay date before review.
  • Front Desk Agent: Gather the guest, unit capacity, booking interval and recorded nightly rate for a confirmation decision.
  • Finance Clerk: Show posted folio charges beside provider-confirmed payments for a checkout review.
  • Service Coordinator: Summarize assigned cleaning and maintenance work by unit and due date.

Stays with a person

  • A person still owns the rate approval and reservation decision.
  • Payment confirmation must come from the provider's outcome.
  • Proto can organize linked information and help prepare a case; it cannot replace a named owner's review or make an unconfirmed receipt settled.
  • Agree the permitted scope and metering with your workspace administrator before broad use.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the operating owners

Assign Revenue Manager, Front Desk Agent, Finance Clerk and Service Coordinator to their decisions and confirm Property Manager oversight.

  2. Load the foundation

Enter people, parties, units and rate plans with consistent unit type names and effective dates.

  3. Rehearse the revenue decision

Capture a dated demand observation, submit a linked rate proposal, approve a valid proposal and publish the approved recommendation.

  4. Rehearse the stay

Confirm a valid booking, check in the guest, post a folio charge, record checkout and compare it with a provider-confirmed payment.

  5. Rehearse exceptions

Try invalid dates, excess party size, a nonpositive rate, an invalid observation and a pending payment. Check the reason and unchanged record before release.

FAQ

Questions, answered

Scope, rollout and pricing for Revenue Management System.

All questions
How do I get started?

Click Get started, then use Proto to configure Revenue Management System for your business. Begin with a unit type, a seasonal rate period, a demand observation and a representative stay.

Who reviews a proposed rate?

Revenue Manager reviews the linked stay, current and proposed rates, and reason. Approval is recorded on a valid recommendation before publication. An invalid submission returns its reason for correction.

Does a competitor observation set our price?

It gives the team an observed rate for a stay date and unit type. The property decides whether that observation supports a proposed change.

Can a booking be confirmed without checking capacity?

Front Desk Agent checks the unit's capacity and the requested dates before confirmation. A conflicting or invalid request remains for correction.

Where is the rate for a confirmed stay?

The reservation records its own nightly rate. A later rate plan or recommendation change should be reviewed against future work before staff apply it.

Are folio charges the same as payments?

No. The charge records what was posted for a stay. The payment record carries its own reference and confirmation status.

What happens when a payment is still pending?

Finance Clerk keeps it separate from confirmed receipts and reviews any outstanding balance after checkout.

How is cleaning assigned after checkout?

The released unit moves to Cleaning, and Service Coordinator assigns a cleaning task to a person with the unit and stay linked.

Can staff see their own service work?

My Service Tasks filters work by the assigned person. Service Work Board shows open, assigned and in-progress work for coordination.
