What you can do

Give unit work an owner

Service tasks records the type of work, due date, completion date, assigned person, unit and related reservation. Cleaning, Maintenance and guest service distinguish the reason for the task. Open, Assigned, in progress and Completed track the operating handoff. Service Coordinator assigns the work to a person in People and follows it until completion. A task is useful only when the recipient can see which unit and stay it concerns.

How the work is organized

  • Queue. Service Work Board groups outstanding work by status.
  • Ownership. My Service Tasks shows the assigned person’s work and due date.
  • Turnover. Units Needing Cleaning identifies released rooms awaiting preparation.

After a guest checks out, the unit enters Cleaning. Service Coordinator can assign a cleaning task to the right staff member and record progress. A maintenance issue on a unit follows the same task record with a different type and can be checked against the unit’s operating status. The completed date makes the closeout visible; merely assigning a person is not evidence the room is ready for another arrival.

What to agree during setup

Agree which person in People receives each task type and who can change its status. Keep the linked unit and reservation visible to the assignee. Decide how a cleaning completion is checked before Service Coordinator marks a unit Available; task completion alone does not change unit readiness. Use due and completion dates to make overdue or finished work understandable. Rehearse a task with a missing assignee and one whose linked unit is under Maintenance.

Check the handoff on an actual case

Start with a checked-out stay whose unit is Cleaning. Service Coordinator creates a Cleaning task for that unit and reservation, assigns a person, and records its due date. The assignee moves the task through work in progress to Completed with a completion date. Front Desk Agent checks the unit status before promising it to the next guest. Add a Maintenance task for the same unit and show why completing the cleaning task alone is insufficient to claim it is Available.

What your team sees

  • Service Work Board — Shows outstanding work by task state.
  • My Service Tasks — Shows assigned work with due and completion dates.
  • Units Needing Cleaning — Shows released rooms waiting for turnover.

Follow the work through

Walk the linked records in the service turnover process. Use implementation to agree the first operating cycle and the data model to check the imported references.
