What you can do

Keep the physical inventory legible

Units holds the rentable room or suite, its type, capacity and current operating status. Front Desk Agent needs those details before confirming a request. Available is a useful starting state, while Occupied, Cleaning and Maintenance tell the team why a unit cannot be handed directly to the next guest. A reservation points to a specific unit, so a rate decision for a unit type still needs a concrete booking check.

How the work is organized

  • Capacity. Available Units presents the unit number, type and guest capacity at the booking decision.
  • Calendar. Unit Occupancy shows confirmed and checked-in intervals against the unit.
  • Turnover. Units Needing Cleaning gives Service Coordinator a short list after checkout.

For an overlapping booking request, compare the proposed whole-night interval with confirmed stays on the same unit. A unit number alone is not the full answer; status, dates and party size all matter. At check-in the unit becomes Occupied. After checkout the released unit moves to Cleaning, and Service Coordinator can assign the related task. Maintenance work remains visible through its own unit status and service task rather than disappearing into an occupancy count.

What to agree during setup

Agree who changes a unit from Cleaning or Maintenance to Available and what evidence they need from Service Coordinator. Use the same unit type text in Units and rate plans. Let Front Desk Agent inspect the occupancy interval and capacity before a confirmation decision. Keep unit numbers stable when importing reservations so a booking does not move to a different physical room. Rehearse an overlapping stay and a party that exceeds capacity.

Check the handoff on an actual case

Choose a unit that fits a party of two and reserve it for a Friday and Saturday night. Try a second request for Saturday on the same unit; leave that request unchanged and show the overlap reason. Then check the first guest in and inspect the Occupied unit. On checkout, inspect the move to Cleaning. Service Coordinator assigns a cleaning task and records completion. Agree who makes the separate decision to mark the unit Available again.
