What you can do
Give the next volunteer an outcome they can inspect
An event handoff may involve a reviewer, gate volunteer, result publisher or finance reviewer. Operation receipts retain the action, expected event revision, result state and references that explain an attempted operation. Event attachments and independent decisions supply additional context when a result needs investigation.
Operations Overview brings open review and receipt exceptions into a filterable worklist alongside reserved and admitted attendance. Event Coordinator uses that overview to identify which responsibility needs attention next. Auditor examines the retained evidence without rewriting the operation result or treating a pending request as a completed effect.
How the work is organized
- Operation identity. The operation key distinguishes the request being inspected. Its expected revision and occurrence time help the team compare the attempted action with the event scope that was current at the handoff.
- Review context. Independent event decisions identify the source revision, reviewer, decision time and reason. Keep those details with the event so a later correction can be understood against the earlier conclusion.
- Supporting files. Event Coordinator attaches evidence with a title, type, uploader and visibility choice. Internal and Shared labels support the agreed handling convention, while actual file access follows the configured permissions.
What to agree during setup
Agree who investigates each kind of exception and what evidence supports resolution. A stale event revision, a disputed timing result and an unresolved payment outcome need different responsible people. Use the recorded action and failure reason to direct the question before anyone repeats an operation.
Set the attachment convention and decide which material may be shared. Check the actual file link with the intended user roles, and keep evidence tied to the correct parent event when the club runs similar events on different dates. Retain prior decisions and operation outcomes when recording a later correction.
Check the handoff on an actual case
Use a rehearsal event with a completed approval attempt and a separate failed request using a stale revision. Ask Auditor to identify the event, operation key and expected revision for each attempt. Event Coordinator should be able to explain the different outcomes using the receipts rather than reconstructing them from volunteer messages.
Add an internal event note and a shared supporting file, then rehearse the agreed access with Independent Reviewer and Auditor. Next, inspect an unresolved payment or result-publication receipt. Assign the investigation to the responsible role and identify the evidence needed before the team can call it complete. Preserve the original outcome while the authorized correction or provider process resolves the discrepancy.
What your team sees
- Exception Receipts — Pending, Failed and Needs review operations with their action, revision and explanatory evidence.
- Shared Event Evidence — Evidence records marked Shared, with uploader and evidence type context; open the referenced file before relying on it.
- Review Decision Register — Independent event decisions tied to the revision examined.
Follow the work through
Use plan and approve an event for revision evidence and close or cancel and reconcile for final exceptions. Agree the evidence questions under reports.
