Prepare work with Proto

Use Proto to prepare a SaaS portfolio and rehearse the team's operating decisions.

It can

  • Service Manager: Prepare a review of subscriptions by owner and renewal date, with usage allocations for each application.
  • Service Technician: Gather the affected service, asset, assignee and incident chronology before the next update.
  • Change Approver: Present the risk, planned window and rollback plan for a change awaiting review.
  • Finance Officer: List rejected or failed provider receipts by provider and received date.

Stays with a person

  • The Service Manager still decides request approvals, and the Change Approver decides planned changes.
  • The Service Manager records each decision.
  • Confirm source values with their owners before changing subscription terms or allocation records.
  • Review the result of a provider event on the target record, not only its receipt.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Name owners

Set up Users and People, choose the Service Manager, Change Approver, Service Technician and Finance Officer, and confirm their responsibilities.

  2. Build the portfolio

Add an active service with owner and criticality, plus one subscription with owner, renewal date, seats and monthly cost.

  3. Add working evidence

Record usage allocations, a service-linked asset, a request and an incident with an authored update.

  4. Rehearse decisions

Approve and reject service requests, review a scheduled change, and check a provider receipt exception.

  5. Expand the scope

Add more services and applications after the team can find the owner and history for the pilot records.

FAQ

Questions, answered

Scope, rollout and pricing for SaaS Management Platform.

All questions
How do I get started?

Click Get started, then use Proto to configure SaaS Management Platform for your business. Begin with one active service, one subscription, named owners and a representative access request.

Who owns a subscription?

The subscription links to a person who owns its renewal discussion. Individual usage records link to the people allocated access.

How do we review unused access?

Compare assigned, last active and revoked dates on usage records against the subscription's licensed seats. Confirm the source and freshness of activity dates during setup.

Where does an access request go?

Record it as a service request with requester and service. The Service Manager decides approval; the manager records request completion after the technician performs the work and updates the affected allocation.

How do incidents relate to assets?

An incident can reference an affected asset and service. The asset keeps its own location and status while the incident carries response dates and updates.

Who approves a change?

The Change Approver reviews the change's risk, schedule and rollback plan before implementation.

What does an integration receipt show?

It records the provider event identity, received time, payload hash and processing outcome. Review the target business record to confirm the intended result.

Can we track a recurring cause?

Use a problem record for the service, owner, problem statement, root cause and investigation status. Keep each incident's own response history.

Where do reports get their answers?

Reports read subscription, usage, service work and receipt records. Their dates and statuses should be checked against the underlying items.

What should we configure first?

Set up people, roles, one service and one subscription. Then rehearse a request decision, incident chronology and reviewed change before widening the portfolio.
